Information for Group Leaders or Administrators

Risk Management’s Global Health, Safety, and Security team, in collaboration with Education Abroad and Overseas Campuses, want to provide guidance and best practices to faculty, staff, and/or students organizing international travel for groups as well as provide assistance in the event of an emergency or crisis abroad.

An overview of the program development, approval process, and implementation cycle for the 2022-2023 academic year is outlined below.

Steps to traveling abroad for group administrators

Step 1: Attend Planning Workshop

Due to the changes and challenges surrounding international travel, all program leaders who have not yet resumed international travel since the start of the COVID-19 pandemic are required to attend a planning workshop while applying for approval.

This workshop will guide program leaders through the approval process, the ongoing changing conditions of operating internationally, as well as provide feedback on preliminary planning. To register for a workshop, see the Workshops and Trainings page for dates/times.

Step 2: Apply for Approval

Any member of the Temple University community organizing group international travel must apply for approval in advance of making any financial commitments for the program or group. Reviews, assessments and approvals will be conducted on a rolling basis, however submission for approval should be submitted no later than the deadlines listed below depending upon the dates of travel.

Depending on the group’s affiliation and type of travel, Temple has established programmatic standards that must be met in order for a program to be considered for approval. Resources are available to assist with planning. Unsure about your group’s affiliation? View our defined list.

Step 3: Receipt of Approval & Pre-Departure Planning
  1. After reviewing the submission, proposers will receive a notification indicating the status of the request. Any programs that are approved will continue to be evaluated periodically prior to departure to confirm that the basic program criteria continue to be met or to determine if adjustments need to be made to the program.

  2. Upon receiving the electronic approval, program leaders will be required to:

    1.  Submit additional documentation to Global Health, Safety, and Security. Instructions to guide program leaders  through completing the registration process are available to download

    2. Complete an asynchronous online pre-departure training and attend a live pre-departure meeting prior to departing. 

    3. Register their group with Global Health, Safety, and Security. Group leaders will also receive a unique URL for their group to complete the registration process.

Steps for an expedited review

Step 1: Apply for Approval

Groups that traveled during the 2021-2022 academic year through August 31, 2022, can apply for an expedited review. These are reviewed on a rolling basis and should be submitted no later than 60 days prior to your departure date.

After reviewing the submission, proposers will receive a notification indicating the status of the request within 1-2 weeks. Any programs that are approved will continue to be evaluated periodically prior to departure to confirm that the basic program criteria continue to be met or to determine if adjustments need to be made to the program.

Timelines for Planning 2022-2023 Travel

Note: Depending on the dates of travel, Global Health, Safety, and Security highly recommends submitting a proposal at least a semester in advance of your departure, and no later than 60 days prior to the start of your program.
